Our mission is to be your first stop for all catering services and to provide you with exceptional quality, exceptional service and a creative cutting-edge culinary experience. What does “preferred caterer” mean?

Life University has contracted Chartwells as its preferred food service provider. As such, Chartwells supplies meals and staffing for Lyceum Dining Hall, Socrates Café, Plato II Go, Eagles Landing and event catering and the University provides Chartwells the right of first refusal for any catering requests. The University also requires a separate acknowledgement if you choose to use an external caterer instead of Chartwells.

Quotes and Invoices

Once you input your order to CaterTrax you will receive a quote from Chartwells for your pending services. You will need to approve your quote and obtain a BPO number from Purchasing via DocuSign. Send the completed BPO to Chartwells (or outside caterer) so that your order can be processed. After your event is over and you receive a final invoice from Chartwells/vendor, verify the invoice charges and send the invoice to Purchasing@LIFE.edu for payment processing.

Catering from Outside Vendors

If Chartwells declines an event or if you opt to use an outside vendor, you will need to complete the External Catering Acknowledgement Form via DocuSign. This will serve as a tracking mechanism for all external catering, as well as departmental acknowledgement that an External Catering Fee (ECF) will be charged back to your department. The fee amount will be equal to 10% of your caterer’s final invoice total. (The ECF will only apply to invoice totals equal to or greater than $250, but the Acknowledgement Form must still be completed for tracking purposes).

Policies & Procedures

To ensure optimal selection and the best possible service we kindly ask that events be booked at least seven business days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs, but catering that is requested less than 3 business days from the start of the event, may incur a minimum $25 late reservation fee. Events are billed in four-hour increments. Events exceeding the four-hour limit will be subject to additional service fees.

Cancellation

We kindly request that cancellations must be made five business days prior to the contracted event date. Cancellations less than 24 hours from the event start time, will be subject to a 50% cancellation fee, due to food prep and labor costs.

Serviceware and China

High quality disposable plastic ware service ware will be furnished as accompaniment to food items purchased. Some exceptions apply to orders being picked up. China and glassware is available for an additional charge.

Contracts

System generated electronic contracts will provide the event contact with all pertinent information regarding the scope of the event, including event delivery date and time, time of service, service fees, delivery fees and linen and china charges.

Billing & Payment

A valid purchase order or credit card is required to secure your event, at least three business days prior to the event date. Events secured by credit card should be paid in full within one business day following the event. Events secured by PO will must be settled using the established Life University invoice payment policy.

Special Diets

Special diets are accommodated upon request, we kindly request that your needs be submitted as soon as possible.

Room Reservation, Linens and Equipment

All non-food related equipment must be reserved using FS Direct. This will include room reservation, room configuration and table/linen set up, audio visual and other general information. If you have any specific linen or table setup questions, please email fixme@life.edu after you have submitted your request.

Delivery Fees

On campus events are subject to a 15% service charge. All events off campus are subject to delivery fees which may vary depending on distance traveled, scope and scale. Please contact catering@life.edu for a specific quote.

Outside caterers may not utilize LIFE-owned catering equipment, dining ware, or access Café kitchen or storage spaces, without prior approval from Chartwells. If an outside caterer is approved to use any items, the caterer will be invoiced for a separate Facilities Use Fee equal to 12% of the invoice total.
